Workflows Overview

What are Workflows?

Workflows in Qik are kanban-style boards that help you manage processes with multiple stages. Each workflow defines a series of columns (stages) with steps, and items (called 'cards') move through these steps as they progress. Workflows are ideal for tracking anything that follows a sequence of stages — from onboarding new members to processing applications or managing follow-ups.

Navigating the Workflows Section

The Workflows section is accessible from the main sidebar menu. When you open it, you'll see:

  • Your Workflows — A list of all defined workflows, each showing the number of active cards and any overdue items. A visual bar chart shows the distribution of cards across steps.
  • Your Cards — Workflow cards specifically assigned to you, grouped by workflow type
  • Overdue Cards — Cards that have passed their due date and need attention

Key Concepts

  • Workflow — A defined process with named columns and steps (e.g. 'New Member Onboarding')
  • Column — A major stage in the process (e.g. 'Application', 'Review', 'Approved')
  • Step — A specific point within a column (e.g. 'Awaiting Documents', 'Documents Received')
  • Card — An individual item moving through the workflow (e.g. a person being onboarded)
  • Assignee — The person responsible for a card at its current step
  • Due Date — An optional deadline for when a card should reach its next step or completion

Common Use Cases

  • Onboarding — Track new members or employees through a multi-step onboarding process
  • Applications — Process applications from submission through review to approval or rejection
  • Follow-ups — Manage pastoral care, support requests, or customer follow-ups
  • Task management — Track tasks or projects through stages like To Do, In Progress, and Done
  • Approvals — Route items through approval chains with clear visibility of status

Workflow Summary

The workflow dashboard shows a summary for each workflow including:

  • Total active cards — How many items are currently in the workflow
  • Overdue count — How many cards have passed their due date (highlighted in red)
  • Step distribution — A visual bar showing how cards are distributed across steps, with colour coding
