Managing Profiles - Overview

What are Profiles?

Profiles are records about people in your organisation. Every person you track — whether they're a member, volunteer, contact, client, or employee — is stored as a profile. Profiles hold key information like names, email addresses, phone numbers, addresses, and any custom fields you define.

It's important to understand the distinction between profiles and users. A profile is a record about a person. A user is a person who can log in to the platform. A user always has a profile linked to them, but most profiles won't have a user account — they're simply records in your database.

Navigating the People Section

The People section is accessible from the main sidebar menu. When you open it you'll see:

  • Active Profiles — A count of all active profiles in your system, with a link to view them all.
  • Smart Lists — Any saved smart lists filtered to profiles or users will appear here for quick access.
  • Users — A summary of active users, broken into App Users (people who sign in to your public apps) and Dashboard Users (people who can access this admin dashboard).
  • Custom Profile Fields — Manage custom fieldsets that extend the data you can store on profiles.

Profile Types

By default, Qik provides a standard profile type. However, your organisation may have created additional profile types through definitions. Each profile type can have its own set of custom fields and behaviours. All profile types appear in the People section and can be browsed independently.

Viewing Profiles

Click View All to open the profile list view. From here you can:

  • Search for profiles by name or other fields
  • Sort and filter the list
  • Click any profile to view its full details
  • Use the actions menu (three dots) on any row for quick actions like editing or deleting

The Profile Detail View

When you open an individual profile, you'll see their core information (name, contact details, etc.) along with tabs or sections for:

  • Timeline — A chronological feed of activity related to this profile
  • Relationships — Family members and other connections
  • Groups — Organisational units or groups they belong to
  • Custom Fields — Any additional data stored via custom fieldsets
  • Comments — Notes and conversations about this profile

Finding Duplicates

Over time, duplicate profiles can accumulate — especially after imports. The People section includes a Find Duplicate Profiles link that helps you identify and merge duplicates. See the dedicated article on merging duplicates for more detail.
