Managing Form Submissions

Overview

When someone fills out and submits a form, a submission record is created in Qik. You can view, filter, process, and export these submissions from the admin dashboard.

Viewing Submissions

There are several ways to access form submissions:

  • Forms dashboard — The Forms section shows recent submissions across all forms, with a link to view all
  • Per-form submissions — Click View Submissions next to any form to see only submissions for that specific form
  • Global list view — Navigate to any submission content type's list view for a full filterable table

Submission Details

Each submission contains:

  • Title — Automatically generated from the form name and submitter details
  • All field values — Every field the submitter filled in, displayed according to the form's field structure
  • Person details — The submitter's name, email, phone, and address (from the Person field group)
  • Metadata — When it was submitted, who submitted it, and which form it came from

Filtering Submissions

Use the list view's filter tools to narrow down submissions:

  • Filter by date range to find submissions from a specific period
  • Filter by field values to find specific responses
  • Search by submitter name or other text fields
  • Sort by submission date, name, or other fields

Processing Submissions

After reviewing a submission, you may want to:

  • View the linked profile — If the submission created or linked to a profile, navigate to it
  • Add to a workflow — Create a workflow card from the submission for further processing
  • Export — Export submissions to CSV for reporting or external use
  • Delete — Remove submissions that are no longer needed (soft delete)

Submission Notifications

You can configure automatic notifications for new submissions. When someone submits a form, designated recipients can receive an email or in-app notification alerting them to the new submission. This ensures submissions are reviewed promptly.

Anonymous Submissions

If a form is set to public security, it can accept anonymous submissions from people who aren't logged in. These submissions will still capture the data entered in the form fields, but won't have a user account linked to them. The Person field group helps capture the submitter's identity even for anonymous submissions.
